Privacy policy

This policy explains what information the website collects, why we use it, and how to contact us with a privacy question.

Your health information

Our Notice of Privacy Practices explains how we use and protect health information and describes your rights as a patient. You can read it on pages 5–7 of the new patient packet (PDF), or ask the office for a copy in another format. The policy below covers this website.

Information you choose to provide

When you request an appointment, email the office, or call us, you may share contact information and details we need to respond. Our appointment request form uses Google Workspace. Form responses are stored in the practice's Workspace account, which is covered by an accepted Business Associate Agreement with Google. That agreement applies to eligible Workspace services; it does not cover Google Analytics or advertising services.

Please keep general website messages brief. Do not include detailed medical information, Social Security numbers, insurance identification numbers, or payment-card details. If you need help with an urgent dental concern, please call the office.

How we use your information

We use the information you give us to answer questions, arrange appointments, communicate with you, and support patient care and office operations. Service providers that help us deliver the website, appointment form, and communications may process information as part of those services.

Website traffic and advertising

We use Google Analytics, Google Ads, and Microsoft Advertising (Bing) to understand visits to general practice pages and how people find us through advertising. These services may receive IP addresses, browser and device details, page addresses, referral information, and interactions such as page views and clicks on the office telephone number. A telephone click does not tell us whether a call or appointment took place.

These services use cookies and advertising identifiers, so this information is not anonymous. We limit the pages where our measurement tags run, turn off Google advertising personalization signals, and restrict the information included in page addresses. We do not use Meta (Facebook) Pixel. For more about how these providers handle information, see the Google and Microsoft privacy policies.

Our Google and Microsoft measurement tags do not run on appointment-request pages, treatment pages, or pages about dental emergencies and anxiety. They also remain off when the browser sends Global Privacy Control or Do Not Track, or when a page address or referral fails our privacy checks. Hosting providers still process information needed to deliver these pages. Opening the appointment form takes you to Google Forms, where Google processes information to provide that service.

You can limit or delete cookies through your browser settings. Google's Analytics opt-out browser add-on provides an additional choice for Google Analytics; it does not turn off every advertising, map, or hosting service.

Hosting, maps, and outside services

Netlify and Cloudflare help deliver and protect this website. Hosting and security services process technical request information, which may include IP addresses, requested page addresses, and browser details. Cloudflare also measures page-loading performance through its Web Analytics service, which operates separately from our Google and Microsoft tags. Cloudflare describes Web Analytics as operating without tracking individual visitors across websites. See Cloudflare's privacy policy.

The contact page includes an embedded Google Map. Loading that map connects your browser to Google, even if you do not ask for directions. Links to social media, review sites, and insurance resources take you to services with their own privacy policies.

Our online bill-pay link opens a separate payment service. This website does not collect or store your payment-card details.

Security and retention

HTTPS encrypts information while it travels between your browser and this website. No online service can guarantee complete security. How long information is kept depends on the type of record, the service involved, and applicable clinical, legal, and business requirements.

Questions about your information

Please contact us if you want to ask about, correct, or request deletion of information you have shared through the website. We will review the request and explain what we can do, including any records we are required to retain. Rights under Virginia privacy law depend on the information and circumstances; patient health information may be covered by different requirements.

Policy changes

We may update this policy as the website or our services change. The revision date appears at the top of this page.
